THE FINE PRINT

Even though it is a private function, Smith & McKenzie reserve the right to use their discretion to ensure the service and consumption of alcohol abides by their license and everyone gets home safe.

TENTATIVE BOOKINGS

Once you have been notified that your function has been tentatively booked, the space will be held for 7 days, to allow you to make the applicable booking fee payment. After this time the space will automatically be released.

BOOKING FEE

The booking fee will be required for The Mckenzie Room and Garden Bar, within 7 days of your tentative booking being made to confirm your booking. There is a minimum spend requirement. The deposit gets taken off the final bill.

 

CONFIRMATION - NUMBERS AND DETAILS 

Confirmation of final numbers, dietary requirements and other details (including arrival time, equipment requirements, bar tabs) is required 14 days prior to your function. All food will be charged on no less than these final confirmed numbers.

 

PAYMENT

Full payment is expected on the night of the event unless prior approval has been granted for invoicing, in which case payment is due within 7 days. Failure to make timely payments may result in penalties.

 

MINIMUM SPEND

Each space has a required minimum spend for the evening if this is not met the balance still needs to be paid.

 

PRICE CHANGES

Prices may fluctuate over time due to factors beyond our control, such as inflation or market changes. Although we aim to provide competitive rates, long-term bookings may undergo adjustments. Be assured that any changes in pricing will be communicated transparently, and we will collaborate closely with you to ensure your event continues to be memorable and represents excellent value.

 

CANCELLATIONS

Cancellation requests must be submitted via email to functions@smithandmckenzie.co.nz no later than 21 days before the scheduled function. Unfortunately, booking fees are non-refundable as we often decline other bookings for the same date. Cancellations within 14 days or no-shows will incur the full minimum spend charge. Requests for date changes, subject to availability, can be considered well in advance. For cancellations beyond your control, charges will be at the Manager’s discretion.

 

FOOD AND DRINK

No food and drink purchased elsewhere may be brought onto the premises - the exception to this being celebration cakes. We can supply a cake at an extra cost if given 72 hours notice. We do not have a BYO license.

DECORATIONS

If you are time poor we can also organise and decorate your space for you for a fee.

 

OTHER FUNCTIONS

We reserve the right to book other functions in the same space up to an hour before and an hour after the scheduled function. Any decorations can be brought onsite during this hour, or at an alternative time arranged with the Functions Manager.

 

CLOSING TIME

We are licensed until 1am and the last call in the bar is 30mins before applicable closing time. However, the Duty Manager will use their discretion following host responsibility policy. 

 

SURCHARGE

1.5% surcharge applied to all Credit Card and PayWave transactions. On public holidays a surcharge is applicable

 

LICENSING

We reserve the right to refuse service to minors, anyone showing signs of intoxication, or those who supply alcohol to minors or intoxicated patrons. Staff will require evidence of age for persons appearing under the age of 25. Accepted forms of ID include New Zealand photo driver’s license, passport, HANZ 18+ card and Kiwi Access card. All ID must have valid dates. Anyone under the age of 18 years will be required to be accompanied by their parent or a legal guardian. No yard glasses or 21 shots are per- mitted. All alcohol must be consumed on our premises.

 

COMPLIANCE

The organiser of the function bears the responsibilty for the orderly behaviour of their guests. We reserve the right to remove any unruly patrons and any drugs or alcohol brought onto the premise from elsewhere. Failure to comply with management’s instructions may result in permanent banning/police intervention.

 

DAMAGES

We will take reasonable care, but will not accept responsibility for damages or loss of any items before, during or after a func- tion. Any damage sustained to the venue or its equipment by the actions of the functions guests will see the financial liability of such damages rest with the functions organiser. Property (including gifts, decorations, cakes) can either be taken home on the evening or picked up the following day. We take no responsibility for property left on the premise at any time.

DATA & PRIVACY POLICY

 

What info should be collected

For Smith & McKenzie to store your card details, we need your full name and email address. These will be used for its sole purpose.

 

How the info will be used

Your card details are kept on file to ensure the payment of the function is made. Every transaction made will have an accompanied “Proof of Transaction” in the form of an invoice. 

 

If your info will be stored and for how long

Your card details will be stored for up to 1 year, to ensure Smith & McKenzie can recall any data that may be legally necessary.

 

How they will protect your information

After a year, Smith & McKenzie will securely dispose of your personal information. 

 

If and how they will share it

Smith & McKenzie management and accounts personnel are the only members that have access to your personal information. Smith & McKenzie will not share any sensitive information elsewhere.
